We currently have an exciting opportunity for a Project Coordinator and Word Processor in our Ann Arbor, Michigan office.

The Project Coordinator and Report Production/Word Processor role works closely with TRC's Project Managers in the following areas: financial management of projects including budgeting activities; contracting; report and technical documents preparation/coordination; spreadsheet preparation and updating; project team coordination; and administrative duties as required to meet client and business expectations.

Responsibilities:


Set up, monitor, and update projects in Vision, including initial budgets, change orders and quarterly update requirements * Liaison between operations and finance to ensure proper project set up, documentation and revenue recognition * Assist the project manager with standard reports to monitor project progress * Assist with monthly client invoicing and monitoring of account receivables * Assure that the client's requirements are met (complete communication records for distribution to the PM, file, and project team) * Assist project managers with establishing purchase orders in Vision, and approval of vendor invoices in AP System (SCERIS) * Coordinate and track contract and subcontract outputs, including change orders * Manage and track DBE compliance goals * Coordinate and take an active role in the monthly invoicing * Set up/Update project schedule spreadsheets * Assist and review project financials (i.e., budgets, project tracking, multipliers, profit margin, AR, AP etc.). * Review weekly and monthly reports (i.e., labor details, variance reports, utilization, etc.). * Data entry in ERP System (Deltek Vision), manage data as project progresses * Provide editorial reviews on deliverables * Quality assurance on all deliverables to clients (ensure all approvals are documented)

Excellent communication and organizational skills are critical as well as multi-tasking and priority setting skills. Must also be a team player, detail oriented, flexible and willing to initiate, delegate, and follow-through on assignments.

Required Skills:

  • Excellent communication and organizational skills and an ability to perform effectively in a fast-paced, client-oriented atmosphere with attention to detail
  • Advanced software skills in MS Word and MS Excel
  • Intermediate experience in MS Project, MS PowerPoint, and Adobe Acrobat Pro
  • Two or more years of experience supporting multiple project managers in an engineering, consulting, or construction environment
  • Experience with Deltek Vision ERP System and MS Access software a plus
